Enhancements

Enhancement 1 – Automated Registration Approval

Release Overview

Version 1.22.1 is a major package upgrade that includes three new enhancements.  The first two enhancements allow for the configuration of what data is inserted in the Account and Contact Records from the registration as part of the existing functionality that allows you to create new Account and Contact records.  The third enhancement allows for the creation of rules that will execute an auto approval of a Salesforce Approval Process related to the deal registration object.

 

Enhancements

Enhancement 1 and 2 – Improvement to Creating New Accounts or Contacts

This new feature creates a separate configuration component for copying data between Registration fields and Account and Contact fields as part of creating a new record. This new feature has the following components:

  • New configuration page accessed by clicking the “New Account Page Field Mapping” (Fig. 2) or “New Contact Page Field Mapping” (Fig. 3) Button” under the Account/Contact/Lead to Registration Tab. (Fig 1)
    • See Screenshot 1
    • This will open the new configuration page

    • New field mapping settings for all registration fields (both Package and Non-Package)
      • These new controls are not constrained by field types however you have to identify the Registration Field Name (Callout 1) and Contact or Account Field ID (Callout 2) for each registration field value
        • See Screenshot 2 below
      • To identify the Account or Contact value you need to follow these steps
        • See Screenshot 3 below
        • Open an Account or Contact record
        • Select the edit button
        • Put your cursor into the desired field (Callout 1)
        • Click the right button on your mouse and select “Inspect Element” (Callout 2).
          • This will open your browser’s HTML Viewer
        • Please identify the “input ID#” value (Callout 3) for the field and put that in the Account or Contact Field ID (Callout 2) in the Vartopia Configuration Page

Enhancement 3 – Auto Approval of Deal Registrations

Step One – Creating New Rules

Most customers are using a standard Salesforce Approval Process for managing the review and auctioning of deal registration records.  We have created a way to configure multiple rules that can be used to auto approve the approval process based on deal registration record criteria.  This can be used to enforce program rules related to your deal registration program.

There is a new tab under the Vartopia Configuration Tab named “ Automatic Approval Configuration” (Screenshot 1, Fig. 1).  You can create a new rule by pressing the “Create New Rule” link. (Screenshot 1, Fig. 2)  This will display the new rule in the “Select Rule” drop down list (Screenshot 1, Fig. 3).

Next you need to add the fields you would like to use to determine which records should meet the criteria for auto approval.  To do this you need to select the fields by clicking on the “Add new Field” link (Screenshot 2, Fig. 1) and choosing the Field Name, Operator and Field Value, (Screenshot 2, Fig 2, 3 &4).  If you have created multiple fields you can add filter logic by selecting the “Add Filter Logic” link (Screenshot 2, Fig. 5).  Once you are done, save the rule by clicking on the “Save” Button (Screenshot 2, Fig. 6).

To create multiple rules, follow the process outlined above for each rule.  A word of caution, there is no built in error checking so it is possible to create rules that will conflict with each other so please use caution when designing your rules.

Step Two – Executing your Rules

The current version of the package does not allow for the auto execution of the batch jobs that are part of each created rule.  We are working on an enhancement that will allow for these jobs to be scheduled which will be include in the next release.   In the interim you must execute each batch job associated with each rule.  To do so you must follow the process outlined below.

Choose which rule you would like to activate by selecting the rule from the “Select Rule” drop down box, (Screenshot 3, Fig. 1).  Then click the “Active” Check Box, (Screenshot 3, Fig. 2).  Then click the Save Button (Screenshot 3, Fig. 3).

Next, you must reselect the Rule from the “Select Rule” Drop Down Box, (Screenshot 4, Fig. 1).  You will see a new button called “Execute Batch for this Rule”, click on this button to activate the Batch Process, (Screenshot 4, Fig. 2).  This will immediately add this job to your Apex Job Queue.  All records that match the filter criteria will have their Approval Processes “Approved”.  You can see the status of the Apex Job by navigating to Setup/Monitoring/ApexJobs.

Version 1.21.2 is a major package upgrade that includes new functionality to allow existing opportunity records to be linked to registrations from the opportunity record via a new button.  This process will also execute the field mappings that are configured in the Registration To Opportunity Configuration Tab.

 

Enhancement

Enhancement 1 – Creation of new “Map to Registration” Button

A new button has been added to the Vartopia Package. This button is related to the Opportunity Object and can be added to the opportunity page layout (Screenshot 1, Fig1).  When this button is pressed, it will display all deal registration records that are linked to the salesforce account record the opportunity is linked to (Screenshot 2).  The User can select the desired registration to link to the Opportunity (Screenshot 2, Fig 1).  The Reg To Opportunity field mapping Code will execute as part of this process.

Enhancement 1 – Modification of “ScheduleVendorStatus” Apex Job

The Apex Job was modified to run as a “batch job” to prevent Apex CPU Time Outs from occurring in Customers with a large number of deal registration records.

  • You should validate that the new Apex Job is scheduled to run on a nightly basis.

A bug was fixed that allowed more than 1,000 records to be retrieved in a registration duplicate search.  results.  We adjusted the code to limit the number of records returned in a search to 1,000 records to prevent system errors.

Version 1.17 is a major package upgrade that has new functionality that enables users to search for and find similar deal registration records.

Enhancements

Enhancement 1 – Find Duplicate Deal Registrations is comprised of the following elements.

  1. Configuration Tab
    • To configure your Duplicate Search Field Sets, please navigate to Vartopia Configuration Tab (Fig 1) and then select the Vartopia Configuration Sub Tab (Fig 2) and scroll to the bottom of the screen where you will see the Duplicate Search Fieldset section (Fig 3)
    • You can move the fields you would like displayed in the search results by moving a field from that Available Field Columns to the Selected Fields Columns using the Add Buttons (Fig 4)
    • You can also change the display order of your Selected Fields using the arrows on the right (Fig 5)
    • When you are done, please click the Save Button to save your changes. (Fig 6)
  2. Find Duplicates Button
    • Add the Find Duplicates Button to your Deal Registration Page View
      1. You can also change the text of the button using the “Translation Workbench” Override Functionality
    • Duplicate Search Results Display Page
      • When your users click on the button when viewing a deal registration record, they will see results based on the criteria used in the configuration
        • These results are returned via the Salesforce internal search algorithm which is not controllable or editable by our code base
      • To refine their search results, users can do the following:
        • Enter different information into the search boxes (Fig 1) and click the “Search Button” again
        • Search within the results displayed but using the Search Box (Fig 2)
        • Sort the data in each column by clicking on the column header (Fig 3)

Bug Fix 1 – Multiple Opportunity Record Types

This bug is related to environments that use multiple opportunity record types.    The bug prevented the code that automatically updates the status of a deal registration based on the status of the linked opportunity from working properly.

Version 1.15 is a major package upgrade that has new functionality related to the Package code that controls the deal registration expiration date and adds the ability to automatically update the status of deal registrations based on the status of a linked opportunity record.

Enhancements

Enhancement 1 – Configuration element that allows you to determine if the deal registration expiration date is adjusted when the deal registration status is changed to a new status.

When a new deal registration is created in Salesforce, the deal registration expiration date is automatically set by the package by adding the value in the “Days to Expire” Field (Fig1.) on the Vartopia Configuration Tab to the current date.   In addition the previous package versions would automatically update the deal registration expiration date when a deal registration status was changed to “Approved” by adding the adding the value in the “Days to Expire” Field (Fig1.) on the Vartopia Configuration Tab to the date the deal registration status was changed to “Approved”

The new functionality allows you to configure if the deal registration expiration date is changed when a deal registration status is changed to “Approved” or some other deal registration status of your choosing.

  • To configure this new functionality open the Vartopia Configuration – Main Tab
    • Set your desired deal registration status using the “Status To Use To Reset Expiration Date (Other Than Submitted)” Field (Fig 2.)

Enhancement 2 – Expansion of the functionality of the Extend Deal Registration Expiration Date Button.

The Extend Registration Button is used to adjust the deal registration expiration date to a new date in the future.  The Package automatically adds the number of days defined the “Days To Extend Deal Registration” Field (Fig 3.) to the existing deal registration expiration date.  We have added new functionality to this button that allows you to control when the button can be used and what happens when it is used.

  • To configure this new functionality open the Vartopia Configuration – Main Tab
    • To configure how many days after a deal registration has expired the “Extend Deal Registration Button” will work, please use the “Number of Days After a Registration Can Be Extended” Field (Fig 4.) to set your desired value.
      • If the button is pushed after the allowed number of days, an error message will be displayed to the User.
      • You can configure this error message by putting the desired text into the “Registration Error Message” Field (Fig 5.)
    • To configure which deal registration statuses can be extended by the “Extend Deal Registration Button” Please use the “Statuses That Can Be Extended” Field (Fig 6.)
      • If the button is pressed on a deal registration record and that record’s deal registration status is not one of the selected statuses, the user will get an error message that says “ Invalid Status to Extend Registration”
    • To configure the “Extend Deal Registration Button” to change the deal registration status to a specific status when it is pushed please use the “Status Set When a Record Is Extended” Field (Fig 7.)
    • When the button is pushed it will now automatically check a new Check Box field called “Registration Extended” on the deal registration record.
      • You will need to add this field to the appropriate registration page layouts

Enhancement 3 – Automatically updating the deal registration status field based on the stage of the linked Opportunity record.

We have added new functionality in the Vartopia Package to automatically update the deal registration status field based on the Stage of the linked Opportunity Record to eliminate the need to manually adjust the deal registration status when a linked opportunity is either won or lost.

  • To configure this new functionality open the Vartopia Configuration – Main Tab
    • Then click on “Opportunity – Registration Status Mapping Button” (Fig 8.) which will open a new configuration screen (Screenshot 2)
    • You will see your Opportunity Stages on the left side (Fig 1.) and your Registration Statues on the right side (Fig 2.)
    • Select which Opportunity Stages you would like to adjust the Registration Status by selecting the appropriate value from the “Registration Status” Field (Fig 3.)
      • In this example, we have configure only the Closed Won and Closed Lost Opportunity Stages to update the Registration Status to Closed –Won and Closed-Lost respectively.
    • When you are done please press the “Save” Button (Fig 4.) and then press the “Cancel” Button (Fig 5.) to return to the previous page.
  • You then then need to configure the associated APEX Job to run on a nightly basis.
    • The Vartopia Salesforce Package has an APEX Class named “ScheduleToUpdateRegistrationStatus” that is used to automatically update the status of a Deal Registration based on the Stage of the Opportunity it is linked to.
    • To activate this APEX Class, you need to schedule it to run on a nightly basis.
      • APEX Class Name: ScheduleToUpdateRegistrationStatus
        • Go to Set Up>Develop>Apex Classes
        • Click the Schedule Apex Button Fig 1. on Screenshot 3 below.
      • Job Name = Vartopia Reg Expiration Update – Fig 1. on Screenshot 4

Enhancements

Enhancement 1 – Deal Registration Expiration Date Button

This new feature enables a deal registration expiration date to be extended by a configurable amount of days.

  • The configuration for this feature is done on the Vartopia Configuration Page in the primary tab (Screenshot 1)
  • There is also a button to trigger the extension code which can be added to the Deal Registration Page View. You can change the text on the button to match the number of days using the translation workbench tool.

Enhancement 2 – Expansion of Map to (Lead, Account, Contact and Opportunity) Search Box

This enhancement expands the number of characters displayed in the search box from roughly 50 to 150.

  • This makes it easier for the user to see and modify the search elements.

Enhancement 3 – Opportunity Stage Name Field

A new field has been added to the deal registration object called “Opportunity_StageName”.

  • This field will automatically display the stage of the opportunity the registration is linked to.

With the new ability to map data into the Opportunity as part of record creation, a bug was found that disrupted that process if the field in question contained an “&” character.

  • The Apex code related to these features was adjusted to ensure that any fields containing this character can be successfully mapped between record types.

Bug Fix 2 – Limiting Search Results

The Vartopia package has been modified to limit the number of search results to less than 1000 records when a user triggers the Map to Lead, Account, Contact, and Opportunity Buttons.

  • This was done to ensure user profile settings don’t trigger an error when searching for records.

Release Overview

Version 1.9 is a major package upgrade that includes several new features, and enhancements related to the way data is mapped between the registration and opportunity objects.

Enhancements

Enhancement 1 – Registration to Opportunity Data Sync

This new feature allows registration data fields to be dynamically updated between the Registration Record and the linked Opportunity Record.  This new functionality has been incorporated into the existing Registration to Opportunity Field Mapping Configuration.

  • Any field selected for mapping will now dynamically update between the registration and the linked opportunity.
  • For Example: If you map “Deal Registration Status” to a field in the Opportunity Object named “Registration Status” any changes to the status in the registration record will be reflected in the linked Opportunity Record.
    • Customers may want to adjust their existing Registration to Opportunity data mapping configurations to address this new functionality

Enhancement 2 – Registrations Linked to Partner Contact Records

This new feature allows deal registrations to be automatically linked to the appropriate Salesforce Contact Records.   This feature has the following components:

  • Two new fields have been added to the deal registration object
    • Partner Sales Rep Contact
    • Partner Submitter Contact
    • If you are going to use this feature these fields need to be added to the Registration Page Layout
    • You can also add the related list view to the Contact Record Page Layouts
  • New apex code has been added that will automatically link deal registration records to the related Partner Contacts Records
    • The code uses the email address associated with the Partner Sales Rep and Partner Submitter to link the registration record to the appropriate Partner Sales Contacts related to the linked Partner Account
      • If there is no match the Partner Sales Rep Contact and Partner Submitter Contact Fields will be blank

 Enhancement 3 – Registration to Opportunity Mapping for New Opportunities

This new feature creates a separate configuration component for mapping data between Registration fields and Opportunity fields as part of the “Create New” process.  This functionality was built to allow data to be populated in new Opportunities as part of the record creation process as opposed to during the record saving process as done by the standard Registration to Opportunity Mapping process.  This new feature has the following components:

  • New configuration page accessed by clicking the “New Opportunity Page Field Mapping Button” under the Registration to Opportunity Tab
    • See Screenshot 1
    • This will open the new configuration page
      • See Screenshot 2 below
    • New field mapping settings for all registration fields (both Package and Non-Package)

Enhancement 4 – Automatically proceed to Contact Mapping as part of Account Mapping

This enhancement allows you to define the default behavior of Mapping to a Contact as Part of Mapping to an Account

  • There is a new checkbox in the Vartopia Configuration Tab called “Enforce Contact Mapping on Account Mapping” See Screenshot 1 below
  • If this box is checked, the “Proceed to Contact Mapping” Box on the Search Results Page will be checked by default when the page loads
    • See Screenshot 2 below
    • Please note that the user can still uncheck that box if desired

Enhancement 5 – Two new deal registration fields added to Account Object

Two new “Account” fields have been added to the Vartopia Salesforce Application to identify how many “Active” registrations are linked to an account and identify the date of the most recent linked registration.  These fields are designed to enhance the ability to identify potential deal registration conflicts during the mapping process.

These two new fields Account Fields are defined below:

Number of Active Registrations Field

  • This field calculates the number of “Active” registrations linked to each account.
    • This field will also be included into your “Vartopia Default Account” and will be updated by the Vartopia Application (as the initiating user) every time a deal registration is mapped away from this account to the correct account
      • If you have restricted which users can edit your “Vartopia Default Account” you need to test this functionality and ensure the registration mapping will still function
        • You may need to change the manner in which you are restricting the “Vartopia Default Account” to just lock the name and the owner
      • You can select which registration status are to be included in the “Active” calculation by selecting them in the Vartopia Configuration Tab.

      • If you modify and or add a new registration status to your picklist in the future you can recalculate the “Active Statuses” by clicking the “Recalculate Account Active Status Count” checkbox

      • The field can be added to the Account Page Layout
      • The field can be added to the Account Search Results so they are displayed to the user during the “Map to Account” process

  • Recent Registration Date Field
    • This field will display the date the most recent registration was linked to the associated account.
      • The field can be added to the Account Page Layout
      • The field can be added to the Account Search Results so they are displayed to the user during the “Map to Account” process

Release Overview

Version 1.8 is a minor package upgrade that includes several enhancements to existing functionality.

Enhancements

Enhancement 1 – Distributor Account Field in Registration Object

A new Distributor Account Field was added to the registration object to allow deal registration records to be automatically linked to the appropriated distributor account in Salesforce.

  • The capability to automatically link the registration to the appropriate distributor account requires that the Partner Users choose their preferred distributor in the deal registration form
  • This new Distributor Account field is a Look Up field and includes all standard salesforce functionality such as Related List Views, Report Types, Etc.

 Enhancement 2 – Campaign Fields in Registration Object

Three new campaign fields (Campaign 1, Campaign 2, and Campaign 3) have been added to the registration object in conjunction with the new Marketing API Connectors available in the Vartopia Platform.

  • These fields can be used to automatically link deal registrations to specific Salesforce Campaigns upon submission via a Partner User
  • The field names can be modified using Salesforce Translation Workbench
  • These new Campaign fields are Look Up fields and include all standard salesforce functionality such as Related List Views, Report Types, Etc.

Release Overview

Version 1.7 is a major package upgrade that includes one new feature, and several enhancements.  The new feature enables all deal registration form data entered in the Vartopia Platform to be included in the data in the deal registration records in Salesforce.

Enhancements

Enhancement 1 – All Registration Form Data sent to Salesforce

This new feature allows all deal registration form data, captured in the Vartopia Platform, to be included in the deal registration data sent to Salesforce.  This was accomplished by modifying the following components:

  • The Vartopia Platform was modified to include a new table used to map data to the Vartopia Salesforce Application
  • The web services between the Vartopia Platform and the Vartopia Salesforce Application where expanded to accommodate the new data elements
  • The Registration Object within the Vartopia Salesforce Application was modified to include a set of new data fields used to store and display the deal registration form data mapped via the web service
    • There are a total of 66 new fields added to the package:
      • 5 Check Box
      • 3 Currency Fields
      • 3 Data Fields
      • 3 Email Fields
      • 5 Number Fields
      • 3 Percentage Fields
      • 3 Phone Fields
      • 20 Pick list Fields

    • The field names in Salesforce can be changed to match the name of the field they are mapped from in the Vartopia Platform using Salesforce Translation Workbench
      • For Example – Detailed Opportunity Description in the Vartopia Platform is mapped to “Long Text Area 1” in Salesforce. The field name is then changed in Salesforce to read “ Detailed Opportunity Description”
    • Customers may want to adjust their Registration to Opportunity data mapping configurations to allow for this new data to be mapped to linked opportunities

Enhancement 2 – Reason for Denial Field Upgrade

A new Reason for Denial field was added to the registration object. This new field is a modifiable picklist field that can be customized based on the needs of the customer.  This new field is pushed to the Vartopia Platform and displayed as part of the deal registration data set to the Partner Users.

Enhancement 3 – Registration to Opportunity Mapping Functionality

A new choice was added to the Registration to Opportunity Mapping Wizard, “New Opportunity Only” to provide greater flexibility when moving data into associated Opportunity records.  The functionality as added to the existing Registration to Opportunity configuration Page.  See Screenshot 1 below

  • When you identify a field to be mapped from the Registration Record to the Opportunity Record you will now see 4 options:
  • None
  • All Reg & New Opportunity
  • Only First Reg & New Opportunity
  • New Opportunity Only
    • New Option

Enhancement 4 – Update Lead Record Status

This enhancement allows the Vartopia Package to automatically update the status of a Lead linked to a deal registration record via the Mapping Wizard.  This allows you to easily identify Lead records that have been tied to a registration.

  • This feature is configured in the Account/Contact/Lead to Registration Tab in the Vartopia Configuration Screen
  • To enable this feature check the “Linked to Lead” Check Box and then select the Status you would like automatically selected in the drop down box
    • See Screenshot 1 below
    • You may want to add a new Lead Status to be used for this purpose
